Start the Wheels in Motion
Follow the steps on the registration email to log on to your Cyclo system. The registration email will contain your web address needed to access Cyclo and will be in the format below:
Then follow the checklist below to start entering your information and using Cyclo. Be sure to train the staff by following the Cyclo training program.
Add your Cyclo domain (https://YOUR-CYCLO-SITE-ADDRESS.oncyclo.com) as a bookmark on each computer/device
You can import stock yourself. To import stock follow the electronic stock entry guidelines. Once you have finished the stock import you can continue to the next step.
If you do not wish to import your own stock, or you have more data that you want to import, you can order the data conversion which is a full data conversion of sales, stock, customers and suppliers performed by the Cyclo team. If you wish to have a data conversion performed in this manner, it needs to occur before you starting using Cyclo as a live system. Any existing data on your Cyclo system will be wiped with the full data conversion being performed. If you have ordered a data conversion, follow the data conversion instructions and then wait until the data conversion is performed before proceeding.
If you are a multi-store, perform the above for all stores. Then follow the multi-store instructions to set up your multi-store environment and select the head office.
Note: If you are having your data converted, do not proceed with using Cyclo as a 'live system' past this point. Any changes or data you enter into Cyclo will be overridden once the data conversion has been loaded onto Cyclo. If you are unsure if you having your data converted, please contact Cyclo Support.
starting the trial the 'users' option has been turned off. What this
means is you can access all features of the system without being asked
for a user password. To add individual users and to set what they can
and cannot do, you can go to utilities menu (move your mouse over the
three lines to the right of reports at the top of the screen), then
users. Select 'global password access' and set to 'no' and save. Then
click on add user and start adding your users. If you forget your user
password at the beginning you can use the 'admin', as that is a default
administrator user in the system. With users active the system will ask
for a user password each time you select an option from the main menu.
When you go live with Cyclo we suggest you makd the default 'admin'
When you first start using Cyclo, there are a few things that need to be set up to ensure smooth riding. These areas are located under the Utilities Menu and include:
- Store details
- Locale Settings (sales tax percent)
- Users & permissions
- Departments, categories and other drop down lists
- Sale, refund, layby/lay-away & gift voucher settings
- Stock tag layout and tag defaults
- Non stock options and list
- Set up printers and document types
Once you have set up these areas you can move on to entering your data in the following areas:
Once you have set up Cyclo and entered in your data , you can continue to use the system and all the features, remembering to perform the post end of day at the close of each day.
Track TipsBrowser: You can use Cyclo from any internet browser. The
preferred browsers are Chrome, Safari and Firefox. If you are using
Internet Explorer we would recommend changing to another browser as some
functionality may not be available with IE
Cyclo Global Login: When first opening Cyclo you will be asked
for your email and password. This is your registration email and
password and needs to be entered once on each of the computers or
devices that you are using Cyclo on. After your global login is entered,
it will then go to the standard user login (see below)
Cyclo Users: Once globally logged into Cyclo, each user has their own password. In Cyclo if you click on any option from the main menu it will have a Cyclo logo and password field. Enter your user password into this file. When you start Cyclo you can use the default user of 'admin'. You can use 'admin' temporarily, until you have set up your users under utilities, manager users, or until you have data converted. (See above under setup steps about setting up your users Cyclo ).
End of Day: When you go live and start using Cyclo for sales, it is extremely important that at the end of each day you perform the post end of day process. If you do not perform this task, there will be no data on the sales reports. To perform the end of day you go to sales menu, post end of day.
Free Cycling: You can use the free version of Cyclo to become
familiar with Cyclo and start using it's functionality in your store.
There is no time limit to using the free version. Once you move past 10
sales or 10 inventory items in the system, you will be required to move
up to the first Cyclo plan.
Training Wheels: We do recommend starting in with training wheels and working your way up. The Cyclo training videos can be watched by all your staff and they can follow the getting started videos, right up to the advanced features. As the training is always accessible, it means you can also train new staff this way, and learn new features when you are interested in them.
Training of Staff: If you are on a paid Cyclo plan you have two special features. The first is a special self train area for your staff. This area allows your staff to train in a separate system to your live Cyclo version. The details of your training area are provided with your email confirmation when signing up to a paid plan.
Clearing of Data: If you have been using Cyclo as a trial and would like to go ahead with a Cyclo plan to go live in your store, you can opt to clear all the data and start again. This option is available under your account settings page, once you are on a paid plan, or simply email email@example.com
How to Upgrade to a Cyclo Plan: You can upgrade your Cyclo plan at any time. To upgrade, log in to the Cyclo support centre, select portal home and then Cyclo subscription.
